This notice explains the website data handled by Organic Reach when you request an AI Search Audit report or contact the agency. It describes the current website implementation; it is not a substitute for jurisdiction-specific legal advice.
AI Search Audit Calculator
The public scan can be run without giving us your name or email. When you choose to download the PDF, we ask for your name and email address, send a six-digit verification code, and process the website address and audit result needed to prepare and deliver the report.
After verification, the system stores the verified name, email, audited website, audit score/grade, verification time, delivery-consent time and any optional marketing preference in a private server-side record outside the public website directory.
Required vs. optional consent
Processing consent is required only to verify the inbox, deliver the requested report and retain an operational audit record. Marketing/follow-up consent is separate and optional.
Security and retention behavior
Audit session files are treated as expired after 24 hours. Download links expire after 30 minutes. Website-fetch requests are restricted to public HTTP/HTTPS addresses on standard ports and are validated to reduce server-side request forgery risk.
Verified audit records may be retained for operational reporting and client follow-up. You can ask Organic Reach to correct or delete a stored audit lead by contacting hello@organicreach.agency. Applicable legal or accounting obligations may require limited retention in some cases.
What the audit does not collect
The calculator does not request CMS passwords, Search Console credentials, analytics logins or private website data. It reads publicly available pages and technical files.
Scout conversation data
Scout asks for your name and email before a conversation begins. When you agree to the chat data notice, Organic Reach may store the conversation in a private server-side record and email the current conversation transcript to hello@organicreach.agency so the team can continue your enquiry with the context you provided.
The transcript may include your name, email address, page visited, messages exchanged with Scout, detected service interest and an internal lead-qualification score. Scout chat consent is for responding to and following up on the enquiry; it is not a blanket marketing consent.
Email delivery & deletion requests
Audit email is used to send verification codes and requested reports. Scout transcript email is used to preserve enquiry context for the Organic Reach team.
You can ask Organic Reach to correct or delete a Scout or audit record by contacting hello@organicreach.agency from the email address used in the enquiry.
